Please read our policy carefully, so we can honour your time, your journey, and the community we are building together.
Our Client Promise At The Loc Pod, locs are more than a style , they're your crown, your roots, your story. We keep it real with expert techniques, natural products, & a vibe that feels like home. Every appointment is personal, relaxed, and made just for you.
- TERMS OF BOOKING - PAYMENTs
- The Loc Pod is a VAT-registered business. All prices shown include VAT at the standard UK rate of 20% unless otherwise stated.
- A £20 non-refundable deposit is required to secure your appointment.
- Consultation fees (virtual or face-to-face) are deducted from your final booking total.
- Appointments over £350 require a £150 deposit.
- Remaining balances must be paid in cash before your service begins.
- Time Management
- A fee of £15 will apply after 10 minutes
- A fee of £20 will apply after 20 minutes.
- If you are more than 20 minutes late, your appointment will be classed as a no-show.
- Your deposit will be retained and a £20 no-show fee will apply
- Arrival Expectations - YOUR HAIR and Client Responsibilities
- To help us provide the best service:
- Please arrive with clean, dry, and product-free hair.
- Arrive with clean, detangled hair (unless you've booked other services).
- If your hair isn’t prepared, we may reschedule your appointment or offer an add-on wash service, subject to availability and an additional fee. Wash services are available as a separate service and can also be booked in advance for a seamless experience.
- Communicate in advance about any time restrictions or specific requests.
- Complete required patch tests when applicable.
- Failure to follow pre-service requirements may result in rescheduling or cancellation of your appointment
- Extra Charges
- Sunday, Bank Holiday, emergency, and same-day bookings have a £20 surcharge.
- Cancellations & Reschedules
- If you cancel or reschedule within 48 hours or more, there is no cancellation fee and your deposit will transfer to the new date (once).
- A non-refundable deposit of £20 is required to secure all bookings.
- Cancellations made with less than 48 hours’ notice will result in your deposit being retained plus a £20 cancellation fee to cover the loctician’s call-out and business loss for that slot.
- Clients may reschedule once within the same week using their original deposit, provided it’s communicated and approved by a team member. Any additional reschedules will require a new deposit, and missed communication will result in forfeiture of the original deposit.

- Touch-ups & Adjustments
- Minor touch-ups must be requested within 24 hours of your appointment.
- Full reworks or refunds are not offered unless otherwise agreed.
- Loctician Availability
- Locticians may change due to scheduling or availability.
- All team members follow The Loc Pod’s professional standards, ensuring a consistent level of service and care.
- Service Duration & Overtime
- Some specialist services such as full repairs, reconstructions, or large extension installs may run longer than standard booking times.
- Where additional time is required, this will be discussed during your consultation and applies only to specific services.
- You will always be notified before any extra charge is added.

- Sunday & Special-Service Surcharge
- A £20 surcharge applies to appointments booked on Sundays for clients outside of our standard Sunday services (which include Hijab clients only).
- This fee supports additional staffing and operational costs for non-standard hours. Clients who wish to avoid this surcharge are encouraged to book within regular operating hours.
- Patch Test & Health Declaration
- Please disclose any scalp or skin conditions before your appointment.
- Certain services may require a patch test at least 48 hours before your booking. If you decline or miss a required test, your appointment may need to be rescheduled, and standard deposit terms will apply.
- Service Quality & Complaints
- All services are carried out with reasonable care and skill, in line with the Consumer Rights Act 2015.
- If you are dissatisfied with your service, please contact us within 48 hours of your appointment. Where appropriate, management may offer a repeat performance or a discretionary discount on a future service.
- Full reworks or refunds are not offered unless specifically agreed by The Loc Pod management.

Aftercare Is Key. We want your locs to thrive! During your service, and after its completion, you are encouraged to ask your loctician for custom aftercare advice tailored to your hair's needs. Because the journey doesn’t end when you leave our chair.
Free Repair Policy
At The Loc Pod, we offer free repairs on specific services within a set time frame to ensure you’re supported, while also encouraging proper upkeep and care between visits.
- Single Loc Repairs
- If you’ve had a single loc repair done with us, you’re eligible for one free re-repair of that same loc within 1 month of your original appointment.
- After 1 month, any further repairs will be charged at the standard rate, as it will be considered part of routine maintenance and upkeep.
- Loc Extensions & Reattachments
- Free repairs and reattachments for loc extensions are valid for up to 6 months after the initial service.
- After 6 months, all repairs will be assessed and priced based on the condition of the locs and how they’ve been maintained between appointments.
- This free cover applies to 1–5 locs only. If more than 5 locs require reattachment, it will be treated as general upkeep, and extra costs will apply.
- Important Notes
- Repairs caused by poor maintenance, product misuse, or neglect will not be covered under our free repair policy.
- We strongly encourage regular maintenance appointments to help preserve your locs and reduce long-term repair needs.
Our House Rules
- We reserve the right to refuse service for inappropriate behaviour.
- If you experience flu-like symptoms, we reserve the right to decline service for health and safety.
- Please double-check that your email and phone number are entered CORRECTLY. The Loc Pod is not responsible for missed confirmations details or communications.
- YOu’re ALLOWED A MAXIMUM OF 24 HOURS TO OFFER TOUCH UPS TO YOUR HAIR. IF YOU’re NOT HAPPY WITH THE OUTCOME. THIS WILL NOT BE TO REDO THE WHOLE HEAD UNLESS COMMUNICATED OTHERWISE.
- INSTANCES WE GO OVER THE REQUIRED TIME OF THE APPOINTMENT THERE WILL BE ADDITIONAL HOURLY FEE WHICH WILL BE DISCUSSED ON THE DAy.
- Photography & Privacy
- As part of our brand experience, The Loc Pod documents client services for marketing and portfolio purposes.
- Photos and short clips may be captured before, during, or after your service to showcase results.
- You have the right to opt out at any time by notifying your loctician or emailing customerservicec@thelocpod.com.
- Opting out will not affect your service in any way.
- Proof-of-attendance photos are captured for records.
- Attendance photos taken purely for record-keeping will never be shared publicly.
- Your personal information is protected and never shared without permission.
- Health & Safety First
- We follow strict hygiene and sanitization protocols.
- If you are feeling unwell (cold, flu, COVID symptoms), please reschedule your appointment.

- Liability
- The Loc Pod is not liable for:
- Undisclosed scalp or hair conditions
- Allergic reactions if patch testing was declined
- Lost or damaged personal belongings within the studio
- Your statutory rights remain unaffected.
